Creating Intake Forms
Intake forms let prospective students (or their parents) submit their details to you online. You build a form with the fields you need, share the link, and submissions appear in Clefora as leads that you can review and convert into students.
Building an intake form
Section titled “Building an intake form”- Open the Hub and go to Intake forms.
- Click New Form.
- Give your form a title (e.g. “New Student Enquiry”).
- Add fields to collect the information you need. Common fields include:
- Student name
- Parent name and email
- Instrument of interest
- Previous experience
- Preferred lesson day and time
- Any additional notes
- Drag fields to reorder them as needed.
- Click Save.
Sharing your form
Section titled “Sharing your form”Once your form is saved, Clefora generates a shareable link that you can:
- Send directly to prospective parents via email or messaging apps.
- Post on your website or social media profiles.
- Include in printed materials with a QR code.
To copy the link, click Share on the form detail page.
What happens when someone submits
Section titled “What happens when someone submits”When a parent or prospective student fills in your form and submits it:
- The submission appears in your Intake forms > Leads section on the Hub.
- A badge on the sidebar shows the number of unreviewed leads.
- You receive a notification (if notifications are enabled).
