Importing Students in Bulk
If you are migrating from another system or starting with a large studio, importing students via CSV is faster than adding them one by one.
Preparing your CSV file
Section titled “Preparing your CSV file”Your CSV file should include columns for student information. At a minimum, include:
- Student Name (required)
- Parent Email (required)
You can also include optional columns such as parent name, parent phone, instrument, and notes.
Importing students
Section titled “Importing students”- Open the Hub and go to Students.
- Click Import students.
- Upload your CSV file by dragging it into the upload area or clicking Browse.
- Clefora displays a column mapping screen. Match each column in your CSV to the corresponding Clefora field (e.g. map “First Name” to First name).
- Review the preview to confirm the data looks correct.
- Click Import.
Reviewing import results
Section titled “Reviewing import results”After validation, Clefora categorises each row into one of four groups:
- Ready — Rows that passed validation and are ready to import.
- Needs Info — Rows with minor issues (such as missing optional fields) that may need attention.
- Duplicates — Rows that match an existing student. You can choose to skip, update, or create them anyway.
- Errors — Rows that cannot be imported due to missing required fields or formatting issues.
Review each category before clicking Import to proceed.
After the import completes, Clefora shows a summary with counts of imported, skipped, and failed rows. You can undo the import within 24 hours from the import history.
