Reviewing Intake Submissions

When someone fills in your intake form, their submission appears as a lead in Clefora. You manage leads through a Kanban-style pipeline board, moving them through stages from first contact to enrolment.

New submissions are easy to spot:

  • A badge on the Intake forms item in the sidebar shows the number of unreviewed leads.
  • On your dashboard, the Recent activity card includes new submissions.
  1. Open the Hub and go to Intake forms.
  2. Click the Leads tab to see the Kanban board.

The board displays leads as cards across four columns. Each card shows the lead’s name, email, phone number, and submission date. You can click a card to view full details, add notes, or set a trial date.

Leads progress through five statuses, shown as columns on the Kanban board:

NewThe submission has not been reviewed yet.
ContactedYou have reached out to the prospective student.
Trial ScheduledA trial lesson has been arranged. You can record the trial date on the lead.
EnrolledYou have converted the lead into a student record.
ArchivedYou have set the enquiry aside. Archived leads do not appear as a column but can be reached from the action menu on any lead.

Use the action menu (three-dot icon) on each card to move leads between statuses. The menu shows the next logical step — for example, a New lead offers Mark Contacted, while a Trial Scheduled lead offers Convert to Student.

If you have multiple intake forms, use the Filter dropdown at the top of the board to show leads from a specific form. A stats summary next to the filter displays your total lead count and conversion rate.
