Tracking Payments and Overdue Invoices

Clefora gives you a clear view of all your invoices and their payment status, so you always know who has paid and who has not. You can send reminders for overdue invoices and review your full payment history.

Every invoice in Clefora has one of the following statuses:

  • Draft — The invoice has been created but not yet sent to the parent.
  • Sent — The invoice has been sent to the parent but not yet paid.
  • Overdue — The invoice has passed its due date without payment.
  • Paid — The parent has completed payment. Funds are on their way to your bank account via Stripe.
  • Cancelled — The invoice was cancelled before payment.
  • Refunded — A full refund has been issued for this invoice.
  • Partially Refunded — A partial refund has been processed (via Stripe).
  • Disputed — The parent has disputed the payment through their bank or card provider.

Navigate to Invoices on the Hub to see all your invoices. The default view shows invoices sorted by status, with overdue invoices at the top. You can filter by:

  • Status — Draft, Sent, Overdue, Paid, Cancelled, Refunded, or Disputed.
  • Student — View invoices for a specific student.
  • Date range — Filter by invoice date or due date.

Click any invoice to see its full details, including the payment date (if paid) and the Stripe transaction ID.

For overdue invoices, you can send a reminder to the parent:

  1. Open the overdue invoice on the Invoices page.
  2. Click Send reminder.
  3. Clefora sends an email to the parent with the invoice details and a payment link.

Your payment history provides a chronological record of all received payments. Access it from the Invoices page by selecting the History tab. Each entry shows:

  • The student and parent name.
  • The invoice amount and payment date.
  • The Stripe payout status.

This view is useful for your own bookkeeping and tax records.

Your teacher dashboard includes an unpaid invoices summary that shows the total number of sent and overdue invoices and the outstanding amount. This gives you a quick at-a-glance view without navigating to the full Invoices page.
