Run a Trial Lesson and Convert to Enrolment

Trial lessons let prospective students try a lesson before committing. Clefora helps you manage the entire flow — from intake form through to enrolment — so no leads slip through the cracks.

Make sure you have:

  • A Clefora teacher account
  • At least one instrument and availability set up in your profile
  1. Create an intake form

    Go to Hub → Intake Forms and select New Form. Customise the fields to collect the information you need: student name, age, instrument interest, prior experience, preferred lesson day and time, and parent contact details.

  2. Receive and review the lead

    When a parent submits the form, a new lead appears in Hub → Leads. You see all the submitted details at a glance. Review the information and decide whether to offer a trial lesson.

  3. Schedule the trial lesson

    From the lead detail page, select Schedule Trial. Pick a date, time, and duration. Clefora creates a provisional student record and sends the parent a confirmation email with the lesson details.

  4. Complete the trial lesson

    After the lesson, go to the lesson detail page and select Complete. Add notes about how it went — these are visible only to you. You can also rate the student’s starting level to help with future planning.

  5. Convert to an enrolled student

    If the student wants to continue, go to the lead or student profile and select Convert to Enrolled. This action:

    • Moves the student from provisional to active status
    • Prompts you to set up a recurring lesson schedule
    • Invites the parent to create a full Clefora account (if they don’t have one)
    • Lets you generate the first invoice

If a trial doesn’t lead to enrolment, you can archive the lead from Hub → Leads. The record is kept for your reference but won’t clutter your active student list.
