Prepare a Student for an Exam
Clefora helps you manage the entire exam preparation process — from registering the exam through to recording results. This guide covers each stage so nothing gets missed.
Before you start
Section titled “Before you start”Make sure you have:
- An enrolled student with the correct instrument set on their profile
- The exam board, grade level, and approximate exam date
Set up and track the exam
Section titled “Set up and track the exam”-
Create an exam entry
Go to Hub → Students → [Student] → Exams and select New Exam. Choose the exam board, grade level, and instrument. Enter the exam date (or expected date if not yet confirmed).
Create and manage exam entries from the student’s profile under the Exams tab.
Tap Exams on the student’s profile and tap + to add a new entry.

Review the readiness checklist
Each exam entry includes a readiness checklist based on the exam board’s requirements. This typically covers:
- Pieces (usually three, depending on the board and grade)
- Scales and arpeggios
- Sight-reading
- Aural tests
- Technical exercises (where required)
Check off items as the student masters them. The checklist gives you a clear view of what still needs work.

Assign exam repertoire
Go to the student’s Repertoire tab and select Add Piece. Enter the piece title, composer, and link it to the exam entry. This keeps exam pieces organised separately from general repertoire.

Set practice goals
For each lesson leading up to the exam, set specific practice goals related to the exam material. Go to the lesson detail page and add goals under Practice Goals. Examples:
- “Play Piece 1 hands together at 80 BPM”
- “Complete all Group A scales from memory”
- “Practise sight-reading exercises daily for 10 minutes”
Parents and students can see these practice goals in their dashboard, which helps keep everyone aligned.

Monitor progress across lessons
Use the student’s Progress tab to see how readiness has developed over time. The progress view shows checklist completion, pieces learned, and practice goal trends.

Record the results
After the exam, go to the exam entry and select Record Results. Enter the outcome: pass, merit, distinction, or not yet passed. Add the score if the board provides one. You can also add notes about strengths and areas for improvement.
Tips for exam preparation
Section titled “Tips for exam preparation”- Start the exam entry as soon as you decide the student will sit the exam — even if the date is months away
- Update the readiness checklist after every lesson so you always have an accurate picture
- Use practice goals to break exam preparation into manageable weekly tasks
- Share progress with parents regularly so they can support practice at home
